What data do we process, and how?

We only process the data you share when you fill in the contact form on our site: your name, email address, company name (if any), your budget-range preference, and the content of your message. This data is collected by non-automated means, through the contact form on our website, and only when you send it to us; if you do not complete the form, we process no personal data on this basis.

Purposes of processing

• To respond to your request and questions,
• To get in touch with you regarding a potential project,
• To provide our services and prepare a proposal.

We do not add your data to marketing email lists; we ask for your separate, explicit consent before sending any commercial electronic message.

Legal basis

Your data is processed under Article 5 of the KVKK on the following legal bases:

• Responding to your request and preparing a proposal — directly related to the establishment or performance of a contract (Art. 5/2-c).
• Keeping records of correspondence and preventing misuse — our legitimate interest, provided it does not harm your fundamental rights and freedoms (Art. 5/2-f).

Transfers and processing abroad

Your data is not shared with third parties for marketing purposes. It is processed only through the infrastructure providers we use to deliver the service:

• Resend — used to deliver the emails sent through the contact form.
• Cloudflare — used for site hosting, content delivery and cookieless web analytics.
• Microsoft Clarity — used to analyze the visit experience, only when you have consented to analytics cookies.

Within these services, your personal data may be processed on servers located abroad. Such transfers are carried out under Article 9 of the KVKK; on the basis of data-processing/standard contractual clauses (appropriate safeguards) agreed with the providers, and/or to the extent strictly necessary to respond to your request. Retention period

We retain your contact-form data for as long as is needed to properly conclude your request and for the duration required by any potential business relationship. If no business relationship arises, your data is deleted or anonymized within a reasonable period after the request is closed (no later than one year); where applicable law prescribes a longer retention period, that period applies.

Your rights (KVKK Art. 11)

Under Article 11 of the KVKK, as a data subject you have the right to:

• Learn whether your personal data is being processed,
• Request information about it if it has been processed,
• Learn the purpose of processing and whether the data is used in line with that purpose,
• Request that incomplete or incorrectly processed data be corrected,
• Request that it be erased or destroyed under the conditions set by law,
• Request that any correction, erasure or destruction be notified to third parties to whom the data has been transferred,
• Object to a result against you arising from the analysis of your data solely by automated systems,
• Claim compensation for any loss you suffer because the data was processed unlawfully.

How to apply

You may submit requests regarding the rights above in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller.

Application channels: by post, via a wet-signed petition sent to our company address; by registered electronic mail (KEP), secure electronic signature or mobile signature; or from the address contact@kotechyazilim.com registered in our system.

What your application must include: your name (with a signature for written applications), your Turkish ID number for citizens of the Republic of Türkiye (for foreign nationals, nationality, passport or ID number), your residential or business address for service of notice, your email, phone and fax details (if any), and the subject of your request.

We conclude your application as quickly as the nature of the request allows and, in any case, within 30 days at the latest. No fee is charged unless the process entails an additional cost; where the response exceeds ten pages, the fee in the tariff set by the KVKK Board may apply.
